Summary and Job Description
The Administrative Assistant will provide support to the Union and the Benefit Fund offices with sorting mail, filing, answering phones, bookkeeping, data entry, and other office responsibilities. The Candidate must be proficient in MS Word and Excel. The candidate should have experience in accounts payable, accounts receivable, and bank reconciliations. Experience working with Unions or other progressive groups would be preferred. The candidate should also have strong communication skills, have the ability to manage time effectively, multi-task, and work independently and as part of a team.

Key Job Responsibilities:

  • Provide support to members and staff with enrollments, changes and terminations of membership and benefits;
  • Assist in recording monthly Journal Entries on a timely basis to ensure an accurate and timely monthly, quarterly, and year end close;
  • Assist in the daily banking requirements and monthly balancing/reconciliations;
  • Answer phones and retrieve phone messages;
  • Assist with member notifications and mailings;
  • Provide office support in keeping records and databases up to date;
  • Collect and provide information for the annual audit and provide assistance to the auditors;
  • Comply with local, state and federal rules and regulations, including but not limited to HIPAA;
  • Participate in maintaining office equipment and supplies;
  • Assist with insurance renewals and notifications; and
  • Other duties as assigned.

Job Requirements:

  • Computer skills in MS Office (Word and Excel), accounting software, and databases;
  • Ability to manipulate large amounts of data;
  • Strong interpersonal communication skills, both written and verbal;
  • High attention to detail and accuracy;
  • Ability to manage confidential and sensitive information discreetly;
  • Experience in a Union environment is advantageous.
