Assistant to the Western Regional Director

Actors’ Equity Association, the union of professional theater actors and stage managers in the United States, is hiring an Assistant to the Western Regional Director in its North Hollywood office. Actors’ Equity is a national union affiliated with the AFL-CIO, with 51,000 members – and growing. The position of Assistant to the Regional Director provides confidential administrative support for and reports directly to the Western Regional Director.

Key Responsibilities:

  • Work with Management to achieve daily goals
  • Research and assist with special projects
  • Facilitate and respond to telephone and email traffic, coordinate and prepare documents for meetings, prepare correspondence, schedule activities and handle travel arrangements for the Western Regional Director
  • Field member requests and inquiries regarding codes, waivers and other matters
  • Enter data and run reports using CRM software
  • Prepare and process daily deposits
  • Maintain a working relationship with members of the Equity Council, Area Liaisons and Committee Members within the Western Region
  • Coordinate Western Regional meetings, including materials, and room set-up
  • Take and transcribe meeting minutes, resolutions, and agendas
  • Assist with the administration of the National election process as dictated by the Association’s Constitution and By-Laws
  • Maintain information on Board and committee members in CRM database
  • Maintain the Western Region meeting calendar
  • Additional duties as assigned

Skills, Abilities:

  • 3 - 5 years of administrative assistant experience is highly preferred
  • Excellent work ethic, with respect for confidentiality and discretion
  • Excellent written and verbal communication skills
  • Superior interpersonal and administrative skills
  • Detail-oriented and able to handle multiple tasks in a fast-paced and deadline-driven environment
  • Must be highly organized
  • Ability to work proactively, independently, and in coordination with colleagues on various projects
  • Excellent computer skills with proficiency in the Microsoft Office Suite and other database software

Education and Experience:

  • Degree in liberal arts or business, or equivalent professional experience required
  • Major or minor in theater, performing arts, or labor studies a plus
