Division Coordinator

Based in Quincy, MA

The Massachusetts Teachers Association (MTA) is current seeking applicants to fill a dual Division Coordinator position, working half time in two Divisions. Our ideal candidate will possess extensive administrative and unit support experience, as well as demonstrated ability to utilize multiple computer software. Our ideal candidate will also demonstrate the ability to be a team player and work independently, and is comfortable multitasking and managing competing priorities, with a passion for delivering exceptional customer service to all MTA members.

The MTA and its 110,000 members work to advance the quality and equity of Massachusetts public schools and colleges by securing the working conditions and professional respect and autonomy of educators, advocating for full funding for public education, and challenging education “reforms” which serve to privatize public education and undermine educator professionalism and the student learning experience.

The duties for this position include but are not limited to:

  • Center for Education Policy and Practice Division (CEPP)
  • Provides diversified administrative support to the unit including; prioritizing workflow, greeting visitors and screening and routing calls and mail.
  • Provides support related to licensure issues.
  • Maintains orderly alpha/numeric and electronic filing systems, including a tracking system for licensure and license renewal questions
  • Downloads and reformats data files, including the Department of Elementary and Secondary Education (DESE) data and other files using spreadsheet software.
  • Collaborates with Finance & Accounting on reimbursements.
  • Proofreads documents for accuracy and completeness.
  • Monitors office supply inventory and orders and maintains office supplies, manages professional journal subscriptions and professional organization dues.
  • Assists in preparation of special projects, training and other related duties as assigned.
  • Performs other related duties as assigned.

Training and Professional Learning Division (TPL)

  • Provides diversified administrative support to the unit including; screening and routing calls and mail, copying, printing and maintaining office supply inventory.
  • Provide support related to the planning, promotion, logistics, evaluation and budgeting of training events, including conferences, workshops, webinars and online courses.
  • Maintains online calendars of training and professional learning programs, as well as other MTA meetings and events.
  • Creates online registration forms, evaluation instruments and other related items for training events and meetings.
  • Assists with division invoicing, purchasing, billing, expense coding and other budgetary duties in accordance with established procedures.
  • Develops reports related to training participation, evaluation and budget.
  • Proofreads documents for accuracy and completeness.
  • Provides members with certification of MTA-sponsored continuing education and professional development credits earned.
  • Assists in preparation of special projects.
  • Performs other related duties as required.

To be successful in the role you will need:

  • 3- 5 years of recent administrative support.
  • Associates degree preferred or equivalent work experience.
  • Able to multi- task with little supervision. Able to prioritize work assignments, shift priorities when necessary, complete tasks in a timely manner to meet deadlines, and communicate clearly with others regarding work progress.
  • Excellent organizational skills and strong attention to detail.
  • Proficiency in using PowerPoint, Excel and Word. Ability to create and maintain spreadsheets and databases. Experience with Event registration software a plus.
  • Exhibits a positive, cooperative attitude – a team player.
  • Excellent communication skills and ability to effectively deal with members, staff, and outside stakeholders.
  • Ability to enhance or advance skills to meet division needs.
  • Ability to lift up to 20 lbs.
