Administrative Coordinator

SEIU Healthcare 1199NW’s mission is to unite, build power among, and improve standards for healthcare workers, to fight for quality, affordable healthcare, and to work to eliminate institutional and structural racism and its intersection with other forms of oppression for all members and their communities. We are seeking an Administrative Coordinator. The role is primarily responsible for the front office support, paper and electronic archive system, and bulk mailing for a growing healthcare workers union.  Must have two or more years administrative experience, proven ability to work independently, be highly organized and dependable, possess great problem solving skills, and be able to repeatedly lift up to 25 pounds on a daily basis. This position requires working from the office for a minimum of several hours every day.


  • Office inventory, ordering, and receiving
  • Process incoming and outgoing mail
  • Forward general voicemail, faxes, and email messages appropriately
  • Set up audio and video conference calls, schedule and maintain conference rooms
  • Maintain office calendars
  • Final set up and printing of contracts
  • Assembly and distribution of virtual and physical New Employee Orientation packets
  • Data entry of membership cards
  • Point person for bulk mailings including set up, printing, sorting, folding and stuffing utilizing production grade printers, mail room equipment and mailing software
  • Responsible for Union archive system (paper and electronic) - ordering and returns, maintaining naming conventions, labeling standards, and supporting document retention policy standards
  • Office machine maintenance, troubleshooting and liaison with techs
  • Other duties as assigned


  • Two or more years of administrative experience in an office environment
  • Willingness to take on new tasks and learn new systems
  • Proven troubleshooting and problem solving skills
  • Dependable self-starter with low need for supervision
  • Ability to handling multiple projects at once while maintaining calm
  • Good written and verbal communication skills
  • Understanding of office archiving practices, one year of practical experience highly preferred
  • Familiarity with bulk mail processes, one year of practical experience highly preferred
  • Able to repeatedly lift file boxes weighing up to 25 pounds on a daily basis
  • Ability to work with people from diverse backgrounds/cultures
  • Commitment to justice for working people
  • Experience working for a progressive organization, labor union or campaign for progressive candidate or initiative highly preferred

Technical Skills:

  • Microsoft Office: Intermediate Word, intermediate Outlook, basic Excel
  • Typing 40 WPM (tested)
  • MS Word formatting (tested)
  • Accurate data entry (tested)
  • Experience with USPS Business Customer Gateway, Quadient (Satori) or similar mailing software, Ricoh Fiery or other production copier digital front end, and NeoPost Mailing Systems a plus  

Salary: $21.13 – $30.28/hr., generous benefits include: fully paid medical and dental, paid sick and vacation, defined benefit pension plan, 401k

This position requires working from the office for a minimum of several hours every day.
