Administrative Assistant to the President

Based in Burbank, CA



  • Provide administrative support: produce documents and correspondence, create and edit various forms, communications, presentations and reports, as required.
  • Manage calendars, arrange meetings for multiple parties, receive and greet in-person guests and reserve meeting rooms, as needed.
  • Maintain confidential contact information, screen department calls and manage messages.
  • Reconcile and prepare expense reports.
  • Interface directly with studio/network contacts, executive-level staff, committees, and high-profile AFM members.
  • Assist with negotiation meetings: email appropriate parties, send scheduling requests, track RSVPs, send reminders, prepare appropriate documents and keep the President's files up to date and organized for meetings.
  • Attend AFM related events and activities, if needed.
  • Communicate in a professional manner in-person and by telephone or email.
  • Handle confidential documents and information appropriately.


  • Must be an energetic self-starter, who is highly organized. Someone who welcomes
  • challenges and is able to work in a fast-paced environment with limited day-to-day supervision.
  • Highly organized with prior experience supporting executives in a corporate environment.
  • Demonstrated ability to use discretion, diplomacy and make sound judgements.
  • Previous experience in the entertainment industry is strongly preferred.
  • BA or BS degree is preferred.
  • Strong skills in MS Office Suite (Word and Excel); knowledge of proper formats for letters, proper grammar, spelling and the ability to compose neat, accurate correspondence.
  • Excellent interpersonal skills with ability to deal with various personalities.
  • This position requires the strictest confidentiality due to interfacing with high level executives, committees, and members.

This position is $50,000 yearly salary. There is a 90-day probation period after which the employee will be enrolled in a pension plan. Medical, dental and vision plans offered, 15 holidays, vacation and sick hour accruals.

This is a full time position. The standard work week is 35 hours, consisting of five seven-hour days, from 9 am to 5 pm Monday through Friday, during which period each employee is allowed an unpaid one hour lunch period.
