Starting Salary: $84,039

The Facilities Management Analyst is responsible for the coordination, tracking, and reporting for AFSCME equipment, furniture, contracts, and leases for all field, campaign, and HQ offices. Provides direct oversight of the Kastle ID badging system. Monitors, evaluates, and manages our plans for telecommunications and equipment.

DUTIES:

  • Reviews and analyzes all contracts and equipment leases for compliance and accuracy. Recommends and prepares correspondence for Director as required by the lease.
  • Responsible for creating a database to track key dates and information of all space and equipment leases and contracts. Once developed, responsible for entering key information into database for tracking and management of leases and contracts and confirming accuracy.
  • Analyzes and provides a thorough review of fully executed contracts and tracks timeline for delivery. Confirms receipt of vendor’s Certificate of Insurance and confirms AFSCME is listed as the certificate holder.
  • Creates a lease abstract for each office lease. Responsible for keeping the lease commitment report up to date at all times. Provides detailed monthly and quarterly reports to the Director.
  • Prepares monthly reports to reflect lease expirations, new leases, and rent schedule changes.
  • Provides an initial review of all Common Area Maintenance (CAM) invoices per office to ensure they conform to lease pass-through language and approve invoices.
  • Responsible for supporting of the bulk-mailer software system to complete Membership Card mailings in-house.
  • Enters all assets, purchase dates, costs, and disposal dates into the asset management system and continually manages information and changes. Ensure all assets have an asset tag. Keeps information current and removes assets when the depreciation cycle is complete. Works closely with the Accounting Department.
  • Coordinates field office telecommunications including asset management, coordination of phone forwarding, tracking of maintenance agreements, and scope of services.
  • Coordinates field office equipment including contract management, monitoring performance, and vendor responsiveness.
  • Responsible for keeping accurate floor plans on CAD system.
  • Responsible for printing all employee ID badges, issuing reports as requested, activating and deactivating badges.
  • Provides management, oversight, and distribution of AFSCME issued hotspots and cellular phones for phone banking or other organizational needs.
  • Responsible for the organization’s cellular data plan to ensure receipt of the most cost-effective plans.
  • Provides in-depth analysis and research on warranties, equipment life cycles, union vendors, adhering to best practices and policy procedures.
  • Performs other related duties as assigned.

REQUIREMENTS:
Education and Experience:

  • Graduation from an accredited four-year college or university.
  • A minimum of (5) years of related experience or any equivalent combination of education and experience which provides the following knowledge, skills, and abilities.

Skills:

  • Strong ability to review and understand leases and contracts.
  • Ability to conduct sound research and make logical conclusions.
  • Advanced skills in the use of personal computers and database software.
  • Experience with negotiating and communicating with outside vendors both verbally and in writing.
  • Knowledge of asset tracking and procedures.
  • Ability to meet deadlines, measure progress, and evaluate vendors' effectiveness.
  • Ability to generate ad hoc reports using a variety of databases.
  • Ability to conduct sound research and make logical conclusions.
  • Knowledge of Kastle ID or another badging system.
  • Strong writing and verbal communication skills. Travel and evening/weekend work may be required. Knowledge of Computer Aided Design (CAD) systems.
  • A valid driver’s license is required.

Travel and work hours:

  • Occasional travel, extended work hours to include weekends may be required.
