Office Manager/Executive Assistant

The ILWU has an Office Manager/Executive Assistant staff position opening up in San Francisco, California beginning the first of the year 2022. This is a senior staff level position and is covered by a collective bargaining agreement. A minimum of five years of experience supervising employees is strongly recommended. The ILWU is a bottom-up, rank and file International labor union. This position will report directly to the Titled Officers (International President, International Secretary-Treasurer, International Vice President – Mainland, and International Vice President – Hawaii.)

Job Duties and Responsibilities include, but are not limited to:

  • Coordinate and direct work assignments and mailings, supervise clerical staff, effectuate policy with respect to office rules and discipline;
  • Screen phone calls, take detailed messages, and return phone calls;
  • Interview and recommend candidates for clerical employment;
  • Screen individuals requesting personal and/or business meetings with Titled Officers; make appointments; set up and maintain the Titled Officers’ travel and schedules;
  • Assist with final copy of correspondences, memoranda, etc.;
  • Review and prepare materials necessary to maintain insurance and bond policies;
  • Review and sign contracts and correspondence;
  • Handle matters of confidential nature, such as labor relations; use own initiative, judgement, knowledge of office practices and policies;
  • Work closely with other department heads; work on special projects;
  • Advise the Titled Officers regarding building maintenance and financial matters as necessary, including tenant leases and building insurance and bonds;
  • Coordinate International Executive Board meetings and materials
  • Plan, prepare, and conduct International Conventions (every 3 years) along with other senior staff.
