Administrative Coordinator

The Temple Association of University Professionals (TAUP - AFT Local 4531) seeks an Administrative Coordinator. This person is the front line of the organization and will work with a diverse group of union members, potential members, elected officers, union staff, and university staff. Administrative responsibilities:

  • Provides overall administrative duties and maintenance of the daily operations and performance of TAUP office.
  • Maintains membership database for financial, organizing, and research needs with attention to confidentiality.
  • Provides professional, prompt, and courteous service to all clients which include TAUP CBU members, TAUP officers, executive committee, staff, and activists, and various levels of Temple University personnel.
  • Answers office phones, assesses member questions, and directs to appropriate union staff, officers or committee contacts, ensuring accurate and timely processing of requests/actions. Logs phone calls and office visits in the membership database.
  • Develops and implements office procedures and processes in conjunction with the TAUP officers.
  • Plans, advises, implements and maintains all office computer equipment (hardware/software).
  • Provides oversight, facilitation, and supervision of support and policy interpretation; purchasing, space, and facilities planning; major event design and implementation; and may oversee business processes.
  • Resolves a diverse range of problems consistent with an understanding of the mission, vision, role, and goals of the union.
  • Maintains and updates TAUP website, produces web content, and contributes to the maintenance of TAUP social media accounts.
  • Administers FAST Fund to help students in crisis.
  • Assists TAUP leaders with day-to-day tasks, scheduling, and projects.
  • Coordinates travel.
  • Has responsibility for taking notes in meetings at times when the Secretary is not present.

Financial responsibilities:

  • Responsible for the daily operations and performance of the accounting/financial unit. Also has a solid understanding and application of concepts, theories, principles, practices, regulations, and terminology, and applied bases in area of specialization.
  • Along with the Treasurer, ensures the accurate and timely processing of financial transactions. Implements procedures for security of funds received and disbursed for proper controls and timely deposits/disbursements. Analyzes and reviews financial data, and resolves a diverse range of problems.
  • Works independently, with broadly defined work objectives, and limited review of overall results. Adheres to all AFT and IRS financial guidelines, deadlines and regulations.
  • Calculates all per caps to National, state and county based on Temple monthly dues reports.

All TAUP staff report to the union President; the Administrative Coordinator will work directly with the VP Operations and the Treasurer.

Knowledge and Experience
Requires a bachelor’s degree in finance, business administration, or related field; or an equivalent combination of education and/or experience that demonstrates comprehensive knowledge and understanding of administrative principles and practices. Also requires a minimum of five years of relevant professional experience in an administrative function, excellent communication skills, and computer literacy. Must have strong working knowledge of Quickbooks. Must have significant experience with the Google Suite, Excel, and the Adobe Suite. Knowledge of Airtable, Google Workspace, Paychex, WordPress, Canva, and Hustle desired but not required. The preferred candidate will have experience working in organized labor.
