Executive Assistant / Project Manager

The Coalition of Kaiser Permanente Unions seeks an experienced individual to fill the position of Executive Assistant/Project Manager. The incumbent will provide high-level project management and administrative support to the Executive Director, Director of Operations and other senior staff as needed. This individual will have access to confidential Coalition information including financial matters, be involved in labor relations processes through maintaining confidential files and correspondence for the Executive and attend and keep minutes of Executive Board meetings.

Key Responsibilities
Provides complex administrative support and project coordination for Executive Director and senior staff to include the following:

  • Coordinates special projects of the Coalition interacting with program, field, and operations staff at all levels across the organization.
  • Establishes and maintains collaborative relationships with union leaders, staff, and members, and with Kaiser Permanente leaders and supervisors to ensure collaboration in achieving objectives and support of the partnership.
  • Performs administrative duties for Executive Director, Director of Operations, and other senior staff.
  • Manages special events and meetings requiring multiple participants.
  • Provides administrative support for leadership bodies including the Executive Board, prepares agendas (with input from senior leadership team), composes minutes, and all other aspects of logistical support.
  • Performs other duties as assigned, which may include preparing reports, researching information, and following procedures as required.
  • Excellent interpersonal skills and flexibility. Must be a team-player
  • Sensitivity to confidential matters and demonstrated good judgement.
  • Must be able to work in a fast-paced environment requiring quick solutions as priorities change.
  • Manages office equipment and supplies for all Oakland staff.

The Executive Assistant will report to the Coalition Director of Operations and is exempt from the collective bargaining unit.


  • College degree desirable. Equivalent experience will be considered.
  • Strong organizational and project management skills; use of independent judgment and ability to juggle multiple requests and schedules required.
  • Minimum of 7-10 years of administrative experience supporting senior level executives and/or project manager experience. Equivalent combination of education and experience may be considered. Union/labor background preferred.
  • Previous experience and demonstrated ability to perform all intermediate level computer skills including Microsoft Office Suite software.
  • Effective verbal and written communication skills.
  • Excellent interpersonal skills with ability to manage in an environment of change, with very diverse perspectives and needs.
  • Ability to interact well with all levels of Coalition staff, Kaiser Permanente leaders/staff, and union leaders.
