Office Manager

Based in Oakland, CA


Provide assistance to the Secretary, Treasurer and four other Business Agents by preparing letters, flyers, contract openers and other materials in preparation for union business and/or contract negotiations.

  • Perform general office administrative functions, including daily phone calls, mail distribution and interface with government officials during routine building inspections and services, including IT person during power outages or computer downtimes.
  • Organize and maintain Union Accounting computer files of membership information.
  • Coordinate and excuse Board of Trustees for monthly union meetings and prepare BOT/GEB minutes from draft copy, then file all correspondence.
  • Prepare monthly activity calendar and distribution to Local 6 Houses to be posted on Bulletin Boards.
  • Daily processing of Dues Check-Off payments, posting payments to each members’ established account.
  • Maintain Dues Check-off records, rental applications, new membership applications, union contracts, BOT/GEB minutes and membership records.
  • Prepares Excel spreadsheets, including distribution of membership data to American Life Insurance available during employment.
  • Allocate and maintain office supplies purchases and ensure invoices are remitted to Bookkeeper to further accounts payable processing.
  • Coordinate and manages two special events – ILWU Local 6 Annual Convention and prepare New Officer Elections (every three years).
  • Research all subpoenas received from attorney offices and according to law, report all information found on a union member in preparation for court hearings.
  • Prepare contract opener letters, fax to employers and scan copy to Local 6 Business Agents.
  • Submit notices both to the California State & Federal Mediation and Conciliation services, also prepare documents for mailing.
  • Collect and open daily mail correspondences, scan copy and/or distribute to management and staff. File daily/weekly all office correspondences.
  • Promote rental business by providing information to callers about rental concerns.
  • Set up and maintain applications for all customers renting the Union Hall facility and collect monetary funds.
  • Monitor Local 6 hall rentals in the collection of rental fees, processing applications and securing required documents from a customer licensee.
  • Enter union membership dues into the computer from ACH Deposits, print and file daily batch data.
  • Assist with dues collection during staff absences, lunch breaks as needed.
  • Collect cash or credit card dues payments and post accurately to each account, then issue receipt of payment.
  • Self-motivated, proactive and ability to multitask maintaining awareness of deadlines.
  • Posting payments to each member's account of over 1500 plus membership.
  • Run a batch list report to ensure money posted in Union Accounting balances to paper check or computer-generated ACH wire file.
  • Perform audits on all assigned houses, review history of payments to determine if in compliance with Dues procedures.
  • Prepare/distributions of delinquent notices to those members behind on their due’s obligations.
  • On an annual basis, I assist office workers in coordination of Local 6 Annual Convention.
  • Prepare announcements, bulletins, letters informing the membership of this important event.
  • Send invites to other IL WU Locals and political speakers/attendees; set up display tables for registration, speakers and member sign-in; make name badges, produce large volume of Constitutional and Conventional booklet materials to be handed out at the meeting.
  • Perform other assigned tasks as needed.


  • Proficient in Microsoft Office – Excel, Word, and Publisher programs.
  • Type: 80 Words Per Minute (WPM)

Salary and Benefits
$29.97 per hour. Fully paid health and dental insurance through the ILWU Health & Welfare Trust Fund. 401k contribution.

This is an in-person job at our Hall at 99 Hegenberger Road, Oakland CA
