Executive Assistant

Reports to: General President
Department: Office of the General President

Supervisory Responsibilities: None

The following shall constitute the primary duties and responsibilities of this position. It is by no means is intended to represent all duties and responsibilities attributed to this position.

General Duties & Responsibilities
The Executive Assistant works within the General President’s Office to provide broad and confidential administrative and logistical support. The Executive Assistant is actively involved in the work of the General President.

The Executive Assistant’s responsibilities include the following:

  • Coordinate and prepare for events and meetings, including: assisting with meeting logistics and preparing and disseminating meeting materials; and assisting with and managing the day-to-day operations and logistics of the Office of the General President.
  • Respond to written and verbal inquiries in a timely and accurate manner, as directed; maintain an organized system of tracking, monitoring, and prioritizing tasks and projects; and assist with the submission of expenses and processing of invoices. The work involves handling sensitive and confidential information, so discretion is a must.
  • Maintain effective filing systems.
  • Manage calendars, schedules, and travel.
  • Draft correspondence and other written materials.
  • In addition to the more traditional administrative responsibilities, assist with various research projects to support the Office of the General President and turn research into readable memos, reports, talking points, and presentations.
  • Relieve other administrative personnel as needed and perform other duties as assigned.

Qualifications and Mandatory Skill Sets
The following shall constitute the mandatory skill set for the position of Executive Assistant and by no means is intended to represent all skills or skill levels obtainable or desirable for holding this position. This list is simply a point from which to build.

  • Advanced knowledge of Microsoft Suite software and advanced computer and technical skills. Functional experience and working knowledge of Microsoft Outlook, Microsoft Word, Microsoft Excel, Microsoft PowerPoint, and Adobe Acrobat software.
  • Outstanding organizational skills with strong attention to detail and the ability to exercise a high level of discretion, confidentiality, and professional integrity.
  • A demonstrated track record of success in fast paced work environments with ability to work efficiently, manage multiple projects simultaneously, and meet tight deadlines.
  • Strong verbal and written communication skills mirrored by excellent interpersonal skills and the ability to work effectively with leadership, staff, and members.
  • Advanced ability to work within authoritative structure of the International.
  • Ability to carry out assignments as directed by the General President.
  • Strong analytical and problem-solving skills.
  • A commitment to the organization’s mission.

Physical Requirements
The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. In compliance with the Americans with Disabilities Act (ADA), the following criterion must be met:

  • Use of computer keyboard; and
  • Sitting/standing for long periods and ability to travel by various means, such as train, plane, and automobile.
  • Must be able to lift up to 20 pounds.
