BASIC FUNCTION
Under the direction of the Office Manager and Assistant Office Manager, the Audit Associate performs a variety of clerical and data entry functions related to membership dues processing, assessment, miscellaneous billing accounts and membership data recordkeeping and processing according to the International Association of Sheet Metal, Air, Rail and Transportation Workers’ Constitution and Ritual.
SCOPE OF RESPONSIBILITIES
- Data entry of monthly Local Union and/or Employer membership reports
- Verify, audit, research, and adjust transaction reports according to specified guidelines prior to settlement.
- Effectively communicate with all levels of Local Union agents, officers, members, and staff to correct errors on the monthly reporting forms.
- Calculate up-to-date balances on delinquent accounts.
- Monthly preparation of processed electronic employer reports
- Copy, scan, and prepare report for emailing to Local Union.
- Filing and file maintenance
- Scanning of membership documents
- Effectively handle multiple projects and deadlines
Perform routine keyboarding, clerical and light typing tasks involved in processing varied office materials as required. Refer visitors and phone calls to proper individuals. Keep various files and records and assist with various miscellaneous clerical work and duties as assigned.
KNOWLEDGE AND ABILITIES
Strong data entry skills; minimum typing of 40 wpm; Accurately use 10-key adding machine (by touch); Good analytical, mathematical, and communication skills; Computer skills including MS software applications, i.e. Excel; Word and Outlook. Knowledge of Enterprise database software helpful but not necessary. Knowledge of standard office practices, procedures, and equipment; Correct English usage, spelling, grammar, punctuation, and vocabulary; Policies and objectives of assigned program and activities; Recordkeeping techniques; Operations, procedures, specific rules, and precedents of the office. This function requires knowledge and independent judgment.
Ability to establish and maintain cooperative and effective working relationships with others; Compile and verify data and prepare reports; Operate office machines including a computer and applicable software to enter data, maintain records and generate reports; Read, interpret, apply and explain rules, regulations, policies and procedures; Maintain current knowledge of organizational information; Understand and follow oral and written instructions; perform complex of varied tasks; Utilize alpha and numeric filing systems; and compose correspondence and written materials independently.
EDUCATION AND EXPERIENCE
- Work requires a general educational background normally equivalent to a high school education.
- Work requires six months of experience in a related position to become familiar with procedures involved in providing assistance to affiliated organizations, staff, and members.
- Must possess excellent customer service skills; telephone protocol, filing and keyboarding.

Environment – Office environment; constant interruptions
Physical Abilities –Keyboarding to enter data into a computer terminal for extended periods of time; Dexterity of hands and fingers to operate a computer keyboard; Kneeling or crouching, reaching overhead, above shoulders and horizontally and bending at the waist to store and retrieve files; Hearing and speaking to exchange information; Seeing to read various materials; Lifting light objects.
