Starting Salary: $60,500 pursuant to collective bargaining agreement

JOB DESCRIPTION
UFCW Local 663 is seeking an Office Coordinator who will perform several responsibilities including, but not limited to: membership assistance, contract support, event coordination, administrative duties and executive support to ensure efficient operation of our Union. The ideal candidate will have a positive, team-oriented attitude with strong administrative skills. Normal work hours are Monday through Friday from 8am - 4:30pm with occasional evenings and/or weekends for events.

DUTIES AND RESPONSIBILITIES
Membership Assistance

  • Assist with membership accounting: entering new membership applications, terminations, etc.
  • Bill employers to ensure smooth dues collection process
  • Route calls, emails, issues, etc. to the appropriate staff

Contract Support

  • Send communications to Employers, such as: bargaining committee release requests, contract reopener letters
  • Assist with grievances, mediation, arbitration, etc.
  • Maintain spreadsheet / tracking of benefits between contracts
  • Organize physical and electronic files of contract documents for all Employers

Administrative

  • Front desk - answer calls, monitor, screen, greet and route guests, mail
  • Work with technology support vendors to ensure laptops, internet, phones, printer, other office equipment are in good working order
  • Communicate with building manager and maintenance as needed
  • Logistical support for Union events - book space, food, materials, registration, travel, etc.
  • Help maintain general office spaces

Executive support

  • Support bookkeeper with financial operations, vendor selections, switching to paperless, etc.
  • Support executive board

Additional duties as needed.

REQUIREMENTS

  • Strong Microsoft Office skills (Outlook, Word, Excel), experience with QuickBooks
  • Experience working in Google Drive
  • Pleasant professional who is dependable, responsible and people oriented
  • Experience with accounts payable, accounts receivable, payroll, and general ledger

EDUCATION AND EXPERIENCE:
High School Diploma or greater with experience as a member of a union or experience in union organizing or advocacy is preferred. Any equivalent combination of education and experience which provides the knowledge, skills and abilities to perform the primary responsibilities will be considered.

PHYSICAL REQUIREMENTS AS REQUIRED BY ADA:

  • Work is performed from a field office.
  • Some extended work hours are required.
  • Valid driver's license required.
  • The ability to communicate information and ideas so others will understand and must be able to exchange accurate information in these situations.
  • The ability to observe details at close range.  
  • Frequently moves boxes weighing up to 75 pounds.

Must pass a pre-employment background check and reference check. We offer a competitive salary and great benefits.
