Council Description
Spokane Education Association (SEA) employs two (2) full-time UniServ Directors and two (2) full-time Associate Staff. The Council has a full-time release President.

Job Summary
The Field Assistant II performs clerical and administrative support for the Council. They will assist with field organizing plans and activities, in coordination with Governance and Council Staff. The successful incumbent will work with Governance to produce events from conception to completion, including coordinating food and room set up and clean up. This full-time position is temporary for nine (9) months. Support is essential as the Spokane EA will be bargaining during this time.
 
The SEA is located at 230 E Montgomery Ave, Spokane, WA. The Council serves approximately 3,600 certificated and classified school employees working in the Spokane School District, and SEA staff work closely with members and the employer.
 
The office is shared with the Washington Education Association (WEA)-Eastern Washington UniServ Council and additional WEA staff.

Responsibilities:

  • Greet visitors and respond to questions from members and guests.
  • Answer phone calls and respond to online and email inquiries.
  • Prepare and coordinate electronic newsletters, email communications, bulk mailings, and printings.
  • Prepare membership packets and member communications.
  • Will serve as the primary point of contact for questions.
  • Assist with meetings and trainings, i.e., order catering, coordinate pick up or delivery, prepare food for meetings, and set up and clean-up of rooms.
  • Maintain and manage Council documents in accordance with established retention practices.
  • Assist with maintaining meeting and office supplies’ inventory.
  • Set up trainings on our professional learning website, WEA-WIN (Washington Instructional Network).
  • Create and manage events – electronically, using appropriate software.
  • Produce and distribute event flyers, invitations, meeting notices, and calendar reminders.
  • Track RSVP’s.
  • Send out required evaluations and post-training communications.
  • Record clock hours.
  • Assist with auditing membership records.
  • Produce reports and materials from computer records and documents.
  • Compile and maintain various databases and working files.
  • Compile and organize survey data.
  • Maintain collective bargaining agreements – electronic and paper versions.
  • Maintain and regularly update the Council web page.
  • Assist members and staff with problems; research questions and provide information and materials when necessary.
  • Assist with maintaining office equipment.
  • Attend Council events and meetings when necessary.
  • Maintain the main office master calendar and other Outlook calendars.
  • Perform work-related errands as needed.
  • Work collaboratively in a team setting and with all staff and leaders in the office.
  • Assist the head facilitator with the National Board Cohort program.
  • Help track and organize member groups; communicate attendance for member groups including Rep. Council.
  • Participate in bi-weekly SEA office meetings.
  • Coordinate travel for members and staff.
  • Assist with agenda and minutes for meetings.
  • Collaborate on events, may contribute content to SEA newsletters, social media, and the website.
  • Send email reminders for upcoming events.
  • Assist with registration and other logistics for the National Education Association (NEA) and WEA Representative Assembly (RA).
  • Work with staff and governance on digital and physical files for case file systems and other filing needs.
  • Assist with ratification preparation and help at ratification or general membership meeting(s).
  • Support staff bargainers and member bargaining teams.
  • Other duties as assigned.

Minimum Qualifications:

  • High school graduate or GED equivalent.
  • Demonstrated success as an administrative professional.
  • Proficient at PC compatible programs, i.e., Microsoft Word, Teams, Outlook, Excel, and Publisher.
  • Experience with database software.
  • Ability to learn web page and desktop publishing software.
  • Demonstrated clerical skills including word processing, filing, proofreading, document retrieval, creating spreadsheets, and screening calls.
  • Ability to generate documents and enter data quickly with a high degree of accuracy.
  • Ability to compose, draft, edit, proof, and produce quality professional correspondence.
  • Ability to learn membership data system (NEA360) requiring strong familiarity with database systems used to track detailed information; ability to generate database reports based on user requests; ability to understand how data is used in the decision-making process.
  • Strong interpersonal skills, including experience in dealing with members.
  • Proven success in building and maintaining cooperative and productive relationships with diverse individuals internally and externally.
  • Self-starter with demonstrated initiative and flexibility with changing priorities.
  • Well-organized with attention to detail; ability to effectively prioritize work.
  • Ability to keep sensitive information confidential.
  • Ability to confront and resolve conflict constructively.
  • Ability to relate in a positive, diplomatic, and patient manner.
  • Ability to understand the relevance and importance of diversity, equity, and inclusion and the impact that a diverse workforce has on creativity and innovation both internally and externally.
  • Must support and help advance the WEA mission, goal, core values, and priorities.
  • Ability to work additional time as needed.
  • Work in person in the Spokane office in Spokane, WA.

Preferred Qualifications:

  • Experience with the use of a variety of electronic communications.
  • Experience with mass communication platforms, i.e., Constant Contact, Survey Monkey, etc.
  • High degree of multi-tasking and time management capability.
  • Experience with preparing and disseminating correspondence, memos, and forms.
  • Experience with meeting, conference, and/or event planning.

Supervision
The successful incumbent will function as a member of the Advocacy & Organizing Center and will report to the Advocacy and Organizing Field Manager or Director.
