Administrative Assistant

The Northwestern University Graduate Worker Union seeks an Administrative Assistant to support our growing local union. UE Local 1122 is a union of around 3,000 graduate student-workers at Northwestern. We are a feminist, anti-racist, and democratic organization using our collective power to improve working and living conditions for all Northwestern graduate workers. We are an affiliate of the United Electrical, Radio, and Machine Workers of America (UE).
DUTIES AND RESPONSIBILITIES
Responsibilities include:
- Timely email communication with member inquiries;
- Processing dues cards and assisting members with dues questions;
- Tracking “good standing” status and sending correspondence related to membership enforcement;
- Assist with managing inventory of union materials;
- Processing incoming and outgoing mail;
- Providing logistical support for union events;
- Regularly maintaining and updating member information in membership databases;
- Processing and coordinating financial records with an outside accounting firm;
- Posting periodic updates to website;
- Attending all Local Executive Board and General Membership meetings;
- Other administrative tasks as directed by the Local Executive Board.
QUALIFICATIONS AND EXPERIENCE
While no one candidate will possess every quality outlined for this position, the successful candidate will bring many of the following professional skills and personal attributes:
- Experience with administrative tasks;
- Knowledge of database management software;
- Knowledge of QuickBooks or similar accounting software;
- Ability to multitask, prioritize responsibilities, and meet deadlines;
- Being well organized and detail-oriented;
- Strong professional and calm demeanor, exhibiting tact, and working well with people of diverse backgrounds;
- Proficient computer, spreadsheet, data entry, and other technology skills;
- Strong interpersonal and communication skills (written and verbal).
WORK ENVIRONMENT
- This position is full-time and based in the Chicago/Evanston area. The position will be mostly remote initially with the possibility of a hybrid structure in the future.
- The position occasionally requires work outside normal business hours, including some nights, weekends, and holidays.
COMPENSATION AND BENEFITS
- The salary for this position is $45,000 per year. Benefits include health, dental, and vision insurance, as well as generous time off.
