DUTIES AND RESPONSIBILITIES
Reporting to the Office Manager, the Bilingual Administrative Assistant plays a key role in providing comprehensive administrative support to the officers and staff of the Capital Area District Office (CAD). This individual will demonstrate strong organizational skills, a customer service-oriented approach, and the ability to manage multiple tasks while maintaining confidentiality. The ideal candidate will be fluent in both English and Spanish and be highly proficient in administrative tasks, with the ability to adapt in a dynamic and fast-paced environment. Key Responsibilities:
Member Services:
- Greet and assist members and visitors at the front desk, providing general information about the union.
- Coordinate directly with employers regarding leave requests from members through the CRM program.
- Support the transition of members into grievance center/fund offices.
- Update and maintain member information in the V3 database.
- Manage steward appointments and removals, ensuring accurate documentation of all member activity.
- Maintain and organize databases for various Capital Area District (CAD) projects.
- Process dues collection, including gathering pay stubs and updating member data while they are in the office.
- Process bi-weekly packages through BP Logix, ensuring the accurate use of Excel spreadsheets for tracking.
General Office Duties:
- Oversee voicemail management, handle fax central responsibilities, and ensure proper forwarding of messages to voicemail boxes or email accounts.
- Inspect and distribute incoming packages and late mail to the appropriate staff mailboxes.
- Prepare UPS packages, complete the necessary forms, and coordinate pick-up or drop-off at the UPS office.
- Receive, stamp, and distribute incoming mail to staff mailboxes in a timely manner.
- Organize and maintain office spaces, including the mailroom and kitchen, ensuring areas like the coffee station are stocked and ready for the day.
- Monitor office equipment (copiers and printers), ensuring they are stocked with paper and in good working condition.
Meeting Space Management:
- Maintain and manage the conference room reservation calendar.
- Post the daily conference room schedule for staff reference.
- Coordinate internal meeting set-ups, including preparing materials, supplies, and food.
- Arrange catering for in-house meetings as needed.
Office Supplies and Mailings:
- Oversee inventory and order office supplies for all three office locations.
- Assist staff with mass mailings, reports, photocopying, and other administrative tasks.
- Prepare copies of flyers, notices, and meeting materials for all chapters and create mailing labels for bulk mailings.
- Provide support in preparing supplies and materials for membership meetings and trainings.
QUALIFICATIONS AND EXPERIENCE
- Fluency in both English and Spanish is required.
- Minimum of 2 years of experience in an administrative support or similar role.
- Strong ability to multitask, prioritize responsibilities, and meet deadlines in a fast-paced office environment.
- Well-organized, detail-oriented, and able to handle various administrative duties efficiently.
- Excellent interpersonal, communication, and customer service skills, both written and verbal.
- Professional demeanor, with the ability to work tactfully and effectively with individuals from diverse backgrounds.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint). Familiarity with internal data and workflow systems is a plus.

This role requires a high level of professionalism, attention to detail, and the ability to foster positive relationships with staff and members.
WORK ENVIRONMENT & PHYSICAL DEMANDS
- This position is a full-time in-person position that occasionally requires work outside normal business hours, including some nights, weekends and holidays
- Ability to lift up to 10 lbs. and stand for long periods during member events
- This position is based in the Capital Area District- Washington, DC
COMPENSATION & BENEFITS
The salary for this role is $49,067 depending on experience. 32BJ offers a full benefits package that includes a fully employer-paid medical, dental and vision plan, for full-time employees and their qualified dependents. We offer retirement benefits, including both a defined benefit pension plan and 401K.
