Job Title: Administrative Assistant I (30-40 Hours per week)
Date: Immediate Opening

Starting Rate: $22.00 Per Hour (*Related experience considered)
Location: South St. Paul Office
JOB SUMMARY: The primary responsibility of this position include; Updating content on our website and social media platforms, answering phones, proofreading, copying, filing, communication mailings along with data entry. This position requires a high level of accuracy and attention to detail, confidentiality, and professionalism at all times. Applicants must be flexible and willing to work additional hours when needed.
Responsibilities:
- Greet and welcome visitors in a professional and friendly manner
- Answer and direct phone calls to the appropriate person or department
- Provide general administrative and clerical support, including photocopying, faxing, mailing, proofreading contracts and filing
- Perform data entry tasks, updating member database information, pulling database reports, and sending out communications through member database using best data practices.
- Updating and posting content on website and social media
- Handle mailings for office
- Update email templates
- Maintain office machines
- Assist with customer support inquiries and provide excellent customer service
- Maintain office supplies inventory and place orders when necessary
- Handle sensitive information in a confidential manner
- Perform other duties as assigned
- Basic research skills
- Handle weekly and monthly deposits (entering receipts, updating deposit slips, taking deposit to bank).
- All other duties as assigned
Experience:
- Previous experience as a receptionist or administrative assistant is preferred. Prior school district work experience and SEIU Local 284 union activism is helpful.
- Proficiency in using Microsoft Suite (Email, Word, Excel) for email communication, document creation, and data management
- Strong organizational skills and attention to detail
- Excellent verbal and written communication skills
- Ability to multitask and prioritize tasks effectively
- Experience Canva a plus
Requirements:
- Ability to maintain confidentiality in all aspects of the job.
- Ability to post to/use websites and social media platforms, devices, computer, printer, scanner, calculator, copy machine, fax machine, postage machine.
- Requires extended periods of sitting.
- Frequent repetitive action on keyboard.
- Occasional lifting of up to 30 pounds.
- Requires some bending and stooping to reach file drawers.
- Willingness to work long and irregular hours, often including nights and weekends.
- High school diploma or equivalent.
