Position Description:
The Human Resources Administrator assists the Director in daily administration of human resources policies, procedures and systems. Perform a large volume of administrative duties pertaining to new and existing employees. Provides assistance on projects or programs as assigned by the Director.
ESSENTIAL DUTIES AND RESPONSIBILITIES
Include the following. Other duties may be assigned. This list is not exhaustive and may be supplemented.
- Maintains comprehensive procedures for updating job descriptions, documenting changes, and tracking employee acknowledgement of receipt as well as employee and department director’s approval of contents.
- Initiates large volumes of correspondence regarding recruiting, new hires, promoted, retired or terminated employees and other employee information of status changes, and accurately calculates related data.
- Performs administrative and general administrative duties in a deadline-oriented work environment for the Director, which includes preparing documents for President’s Office approval, scheduling meetings and preparing expense reports.
- Maintains employee confidence and protects operations by keeping personnel data and medical records strictly confidential.
- Maintains the UFCW Learning Center Calendar and manages the scheduling of various training programs. Coordinates with the Information Technology Department to ensure employees receive training in applicable software programs as needed.
- Enters and maintains the integrity of the Human Resources and other databases by accurately entering and analyzing employee data including, but not limited to, compensation, education and training, and demographics, for legal compliance and administrative purposes. Prepares time-sensitive correspondence and provides reports as needed.
- Sends communications on behalf of the International President.
- Develops and maintains courteous and effective working relationships with employees at all levels of the organization as well as representatives of external organizations.
- Duties, responsibilities and activities may change, or new ones may be assigned at any time, in the UFCW’s discretion. UFCW employees function as a team and, occasionally, and on a temporary basis, employees may be required to perform tasks usually performed by others. This might occur if a team member is absent or unavailable to complete a project and the team is responsible for the deadline. Because employees are required to work as a team, you are required to step up and fill in for a team member who is absent or needs assistance from time to time.
QUALIFICATIONS:

Education and/or Experience
A related Bachelor's degree or a minimum of 3 - 5 years of related same level or progressive experience is required. Experience must include a minimum of one year work experience with labor agreements and knowledge of employment laws. A good understanding and knowledge of human resources systems. Knowledge of employment laws including FLSA, FMLA, ADA, EEO and NLRA required. Working knowledge of collective bargaining agreements administration is required. Thorough knowledge of the organization's structure, policies and procedures is preferred. Minimum three years of administrative or secretarial work experience required.
Computer/Software Skills
Advanced spreadsheet and word processing skills are required. Data entry skills and database experience are required. Highly developed technical skills are needed to learn or instruct on new or updated software.
- Keyboarding: 55 wpm.
Communication Skills
Able to professionally compose correspondence. Strong oral and written communication skills. Good listening and interpersonal skills. Ability to transcribe, spell correctly, use proper grammar and punctuation, and format documents. Must have the ability to comprehend rules, policies, and procedures, and the ability to communicate them to others in a professional and tactful manner. Ability to read and analyze government regulations, bargaining unit contracts, and UFCW policies and procedures to ensure compliance.
Other Knowledge/Skills/Abilities Required
Demonstrated ability to perform administrative duties of a highly responsible and confidential nature while exercising a high degree of discretion and initiative. Capable of handling multiple priorities with frequently overlapping deadlines.
The individual must be accurate, timely; detail oriented and respect the strictest confidentiality concerning employee information and organizational records. Must be able to work under pressure. Must be able to work independently or as part of a team. Advanced organizational skills and follow through on multiple tasks and matters is essential.
Must have a service-oriented demeanor and be innovative and participatory rather than reactive. Ability to add, subtract, multiply, and divide in all units of measure. Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to define problems, collect data, establish facts, and draw valid conclusions.
Job Demands
The work atmosphere is fast-paced, deadline-oriented, and confidential in nature. Long and irregular hours and travel are occasionally required. Numerous telephone calls from various levels of field and headquarters staff and external contacts must be handled tactfully and expeditiously.
Working Conditions
The work is performed in a normal office environment. The noise level in the work environment is usually moderate.
Physical Demands
The position involves, but is not limited to, written and oral communications skills, use of computer keyboard, close vision, sitting for long periods, stooping, bending and reaching.
Compensation:
Salary Range: $66,931 - $84,445.
