SUMMARY: Performs general office work and clerical duties assisting and in support of the Construction Department staff. Performs both complex and routine administrative and secretarial tasks that are auxiliary to the work of the Department and which do not require technical or professional knowledge in a specific area.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  • Performs typing services for the Department from a variety of sources, such as form letters, reports, printed materials, handwritten drafts, computer drafts or columns of numbers. May handle/compose routine correspondence or take action without direction from Supervisor. May be responsible for the preparation of monthly activity reports for Department staff and Departmental annual reports.
  • Maintains Department records and files, supplies and master programs. Retrieves information from files upon request.
  • Performs telephone and receptionist duties for the Department. Distributes correspondence, requests and incoming mail to Department staff. May generate mass mailings.
  • Operates routine office equipment, such as fax machine and duplication equipment.
  • Maintains calendars for Department staff and assists in the scheduling of meetings and conferences. May also make travel arrangements for Department staff.

QUALIFICATION REQUIREMENTS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. EDUCATION and/or EXPERIENCE: High School graduate or equivalent. A strong working knowledge of secretarial practices and organizational skills. Excellent grammar, proofreading and editing skills. Extensive knowledge of Microsoft Office and other relevant computer applications, including Google Calendar, as well as using and maintaining a database system. Sufficient understanding of the organization as it pertains to LIUNA affiliates and the overall structure of the organization is preferred.
