Purpose:
We are seeking a responsible, high-energy, mature, well-organized, Administrative Assistant II to perform a variety of administrative and clerical tasks. The successful candidate will have a proven track record of having worked in a fast-paced office environment and be capable of handling multiple and diverse assignments. Labor or campaign experience preferred.
Responsibilities will include:
- Plans and coordinates small to large events from start to finish using independent judgment, problem solving skills, prioritization and time management skills.
- Create plans to complete projects without being given step-by-step instructions.
- Works under general supervision.
- Works directly w/ cross departmental managers
- The Administrative Assistant II assists the manager with the department’s administrative activities and coordinates various administrative processes and projects. With minimal direction, AAII takes the initiative in administrative support for the department and the Local
- With approval of the Admin Manager AAII’s work closely with assisting Admin I’s with special assignments and projects
- Answer phone calls, provide information to callers or connect callers to appropriate people and respond to e‐mail inquiries.
- Greet and provide general support to visitors and staff.
- Provides general administrative and clerical support to staff such as filing, recording, maintaining records, maintaining adequate stock of office supplies, copying, posting and other similar duties.
- Collate, process and distribute all incoming and outgoing mail for HQ and/or Satellite Offices
- Schedule appointments and update calendars.
- Maintain filing systems, both electronic and physical.
- Prepare and send communications, such as Union Business Leave requests, Membership Enrollment and Cancellation letters to University of California statewide. Other communications as assigned.
- Database management for our Membership Portfolio.
- Create spreadsheets and assist, when necessary, in the development and preparation of presentation material, campaign material, and campaign propaganda.
- Provides data entry services for the Membership and Cancellation portfolio. Other data entry as assigned.
- Assist in the planning of logistics for rallies and other actions/events, including onsite support.
- Travel statewide to other satellite offices.
- Provides conference support.
- Makes purchases.
- Performs a variety of tasks.
- Other administrative support as assigned by the Administrative Manager.
Requirements and skills
- Proven work experience of two (2) years or more as an administrative assistant.
- In-dept understanding of office management and daily operations.
- Hands on experience with MS Office Suite, Google Suite, Adobe, DocuSign, Zoom and Database entry.
- Working knowledge of office equipment, like printers, fax machines, scanners.
- Excellent verbal and written communication skills.
- Strong organizational and time-management skills.
- High level of attention to detail and accuracy.
- Ability to type an average of 60 words per minute, (proof required).
- Possess a valid CA Driver’s License and at least one (1) year of driving experience.
- High School Diploma or AA Degree required.
Bilingual Spanish/Chinese and other languages are a plus, but not required.
Physical Requirements (as required by ADA)
- Must be able to lift 50 pounds.
- Work is performed in a variety of employment settings. Driving, travel to satellite offices and various meeting locations through California is required, temporary assignments, irregular and extended work hours are required.
- Extended day and occasional overnight travel
- Must possess a valid California driver's license, auto insurance with business coverage, and an automobile for business use.
Salary is dependent on experience with a comprehensive benefits package including fully paid Kaiser medical, dental, vision insurance for self and family, business allowance, car insurance reimbursement, (depending on assignment), and educational reimbursement.
