The Motion Picture Editors Guild (MPEG) is a national labor organization currently representing nearly nine thousand freelance and staff post-production professionals across the country, including nearly eleven hundred in the Guild’s Eastern Region. Ours is the world's premier craft guild that sets the standards for excellence in the post-production industry.

The Guild seeks a full-time Executive Assistant to provide high-level administrative and operational support to the National Executive Director (NED) and Western Executive Director of the Motion Picture Editors Guild. This position assists various department heads on special projects. The Executive Assistant must be proactive, organized, detail-oriented, and capable of handling confidential information with discretion and professionalism.

Compensation: This is a non-exempt position. The salary range is $58.00 – $60.00 per hour for a 35-hour work, an annual salary range of $105,560 – $109,200 and will be commensurate with experience. Compensation includes excellent health and retirement benefits through the Motion Picture Industry Pension and Health Plans.

ESSENTIAL JOB FUNCTIONS

  • Executive Support - Provides executive-level support to the Executive Team and adapts to the work style while championing team’s best practices.
  • Calendar Management - Manages and maintains calendars; schedules and coordinates internal and external meetings.
  • Meeting and Event Support - Ensures conference rooms and electronic meetings (Zoom or Teams) are coordinated. Assists in preparing fast and detailed note taking, agendas, presentations, and related correspondence for meetings.
  • Travel Management - Coordinates and manages travel. Monitors the progress of trips as needed, including after hours. Manages changes and cancellations; keeps calendars updated and all parties informed of changes. Provides itinerary for travel as well as all materials needed for trip.
  • Database Management – Assist with project management, tracking deadlines, and ensuring deliverables meet timeline requirements (db similar to salesforce and or workday).
  • File Maintenance - Maintain and organize digital and physical files, ensuring easy access to important documents and records.
  • Document Management - Prepares, proofreads, edits, and transcribes correspondence, including letters, memos, emails, agendas, meeting notes, presentations, etc.
  • Team Player – Actively supports team goals, provides back‐up support when needed and is collaborative, collegial, and approachable to peers. Extends the same high-level service levels to members and colleagues throughout the organization.
  • Adaptable - Demonstrates flexibility and commitment in the face of change and delivers the best outcome for the Guild. Ability to work independently while at the same time, work effectively in a collaborative structure.
  • Anticipatory - Demonstrates the ability to foresee problems and proactively brainstorm potential solutions.
  • Confidentiality - Uphold strict confidentiality and professionalism, especially when handling sensitive information.
  • Initiative - Take the initiative in managing day-to-day administrative duties with minimal supervision.

Key Responsibilities

  • Manage the NED’s daily calendar, schedule meetings, appointments, and travel logistics, ensuring efficient time management.
  • Prepare and coordinate briefing materials, presentations, reports, and agendas for meetings, board sessions, and public engagements.
  • Serve as a primary point of contact for internal and external stakeholders; field and prioritize communications on behalf of the NED.
  • Attend meetings and take detailed minutes; follow up on action items to ensure timely completion.
  • Track critical projects, deadlines, and deliverables for the Executive Office.
  • Coordinate special projects and initiatives under the direction of the Executive Administrator.
  • Maintain confidentiality of sensitive union matters, personnel issues, and strategic plans.
  • Support the execution of communication strategies and union outreach efforts.

JOB-RELATED QUALIFICATION STANDARDS
Knowledge and Skills

  • Exceptional organizational and time management skills with a strong attention to detail.
  • PC and Mac proficient, Microsoft Office suite (Excel, Word, Outlook, Power Point), Teams, internet and teleconferencing
  • Ability to exercise sound judgment, diplomacy, and discretion in handling confidential matters.
  • Strong written and verbal communication skills.
  • Ability to adapt quickly, work independently, and handle multiple tasks under pressure.
  • Proficient with office equipment (postage machine, copy machine, printer)
  • Familiarity with the entertainment industry and labor relations is a plus.

Education

  • Bachelor’s degree preferred; equivalent experience considered.

Work Experience

  • 5+ years of experience in executive-level administrative support, preferably in labor unions, entertainment, or nonprofit organizations.
  • Experience with Workday and or Salesforce preferred.

  • Sedentary work: Exerting up to 20 pounds of force occasionally to lift, carry, push, pull or otherwise move objects.
