Senior Union Administrator: Under minimal supervision, the Senior Union Administrator plays a pivotal role in ensuring that the overall administrative needs of the Local Union are met. This position is responsible for aligning administrative resources to support union-wide initiatives, coordinating administrative teams across offices, and ensuring seamless operations that enhance the union’s ability to serve its members. The Senior Union Administrator must anticipate operational challenges, proactively develop solutions, and adapt to processes as needed to support campaigns, field operations, logistics coordination and union priorities effectively. It is anticipated that this role will require travel up to 25% of the time throughout the local’s jurisdiction and offices. This position is designed for an experienced office professional with a strong ability to anticipate challenges, problem-solve independently, and coordinate resources to support union-wide initiatives. The Senior Union Administrator takes a leadership role in administrative alignment, ensures support for key union campaigns and programs, and works closely with union leadership to streamline operations and proactively address needs. This Position is non-supervisory; coordinates work and workflow of Admin staff and may oversee temporary staff or volunteers as needed.
RESPONSIBILITIES: All duties listed are required but not limited to and may or may not be continuously performed or ongoing at any specific time.
- Union-Wide Administrative Coordination: Ensure that all administrative teams are aligned and equipped to support campaigns, organizing efforts, and day-to-day union operations, including support for field, communications, travel and purchasing.
- Cross-Office Coordination: Facilitate communication and resource-sharing between regional offices to optimize workflow and operational efficiency.
- Strategic Office Management: Anticipate office and campaign support needs, develop and implement solutions to enhance efficiency, and ensure alignment with union priorities.
- Administrative Operations: Maintain and refine internal office procedures, ensuring consistent application across offices and alignment with union policies.
- Scheduling & Logistics Coordination: Review, refine and oversee systems that allow administrative teams and staff to independently maintain master calendars, reserve facilities, and schedule meetings efficiently. Implement streamlined processes and technology solutions to ensure seamless logistics coordination for union-wide initiatives, including campaign events, membership meetings, and mobilizations.
- Campaign & Program Support: Direct administrative resources to support contract campaigns, political actions, and membership drives. Ensure administrative teams are prepared to assist with event coordination by managing venue logistics, handling registration processes, ensuring necessary materials and technology are available, coordinating transportation, and providing on-site administrative support for rallies, membership meetings, and training sessions. Oversee materials distribution, such as flyers, digital communications, and campaign toolkits, to ensure members receive timely and accurate information.
- Communication & Correspondence: manage correspondence, sometimes confidential, including drafting, review and distribution; bulletins, and reports; oversee large-scale mailings and digital communications.
- Resource Planning & Facilities Maintenance: Manage office supply inventory systems, equipment needs, and vendor relationships to ensure all offices are fully functional and well-equipped. Coordinate with office managers to oversee office management and facilities maintenance, ensuring that office spaces are safe operational, and meet the needs of staff and members. Support office managers to address repairs, maintenance schedules, and office space improvements as needed.
- Technology & Data Management: Utilize and train others on the key applications supporting the Local’s work. Maintain and update internal databases, systems (like travel or expense), run reports, and ensure the integrity of digital records across multiple systems.
- Financial Responsibilities: Coordinate budget tracking for office-related expenses or other assigned projects.
- Crisis Management & Conflict Resolution: Assess urgent situations, make informed decisions, and escalate issues appropriately when needed.
- Other Duties as Assigned: Support additional administrative, logistical, or operational needs as required by the Chief of Talent and Operations or his/her designee, including special projects, event planning assistance, and other duties as necessary to ensure the efficiency of union operations.
MINIMUM QUALIFICATIONS:
- Advanced administrative skills, including document management, scheduling, and correspondence.
- Strong problem-solving abilities with a proactive approach to identifying and resolving challenges.
- Exceptional organizational and multitasking skills, with the ability to manage competing priorities across multiple offices and union initiatives.
- Ability to build strong cross-departmental relationships and facilitate collaboration across teams.
- Excellent written and verbal communication skills, including proficiency in professional correspondence.
- Technology proficiency, including Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), and/or the ability to learn Canva, Election Buddy, email staging and data management systems.
- Adaptability to changing priorities and ability to implement process improvements as needed.
- Understanding of union operations and policies, or a willingness to learn and apply them effectively.
- Minimum of five (5) years of office coordination experience, including at least one year in a role where cross-departmental or multi-office coordination is preferred.
- Experience in a union environment or member-serving organization is preferred.
- Demonstrated ability to work independently with minimal supervision and exercise sound judgment in decision-making.
- Willingness to work occasional long hours to meet deadlines and organizational needs.
ADDITIONAL REQUIREMENTS: Must possess a valid California driver’s license; must pass a DMV check and have a good driving record; must have auto insurance that covers business driving (minimum of $100,000 per person/$300,000 per incident bodily injury liability/$100,000 property coverage); and must possess an automobile for business use.
COMPENSATION AND BENEFITS: Exempt, Full-time Position with a salary of $105,000.
