Position Description:
The Human Resources Assistant provides support to the Office by managing daily administrative tasks related to human resources policies, procedures, and systems. This position is responsible for a high volume of clerical and administrative duties concerning new and existing employees, as well as executive support functions for the Director.
ESSENTIAL DUTIES AND RESPONSIBILITIES

- Assists with recruitment activities by coordinating job postings, communicating with candidates, verifying references, and supporting outreach to outside staffing agencies for temporary assistance.
- Handles confidential documentation related to employee matters, including new hires, employee status changes, separations, and other sensitive information.
- Helps maintain compliance requirements, including labor law posters for headquarters.
- Maintains personnel files and records in compliance with organizational policies and records retention requirements.
- Supports the overall function of the Human Resources Office by providing backup coverage and assistance to team members when needed.
- Provides administrative support to the Director, including managing their calendar, scheduling meetings and appointments, and tracking key deadlines; processes expense reports and purchase requisitions on behalf of the Director.
- Prepares documents, correspondence and presentation materials, often containing confidential information.
- Monitor the Human Resources Office mailboxes and forward incoming messages and correspondence to the appropriate team members for handling.
- Provides logistical and administrative support for departmental communications, staff announcements, and meetings, including notetaking and distribution of materials.
- Builds and maintains professional, courteous working relationships with staff at all levels of the organization and external partners.
- Maintains up-to-date desk procedures for the position and demonstrates initiative in improving administrative processes.
QUALIFICATIONS:

Experience
- At least two years of administrative, clerical, or office support experience required, including prior experience in human resources or a related field, or a bachelor’s degree in human resources.
- General understanding of human resources functions and practices.
- Accurate data entry skills and experience with databases; prior exposure to HRIS.
Computer/Software Skills
- Advanced skills in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) required, with the ability to create and edit spreadsheets, reports, presentations and other documents. Knowledge of Visio a plus.
- Ability to quickly learn and adapt to new or updated software applications; ability to assist others with technical questions.
- Keyboarding speed of at least 55 words per minute.
Communication Skills
- Ability to communicate effectively both orally and in writing; Spanish proficiency preferred.
- Ability to compose correspondence professionally, use proper grammar and punctuation, and format documents clearly.
- Good listening and strong interpersonal skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.

Job Demands
- Ability to organize time efficiently and work quickly and accurately in a demanding, deadline-oriented and confidential work environment. Long and irregular hours are occasionally required. Numerous telephone calls from various levels of field and headquarters staff and external contacts must be handled tactfully and expeditiously.
Working Conditions
- The work is performed in a normal office environment. The noise level in the work environment is usually moderate.
Physical Demands
- The position involves, but is not limited to, written and oral communications skills, use of computer keyboard, close vision, sitting for long periods, stooping, bending and reaching.
COMPENSATION
Salary Range: $55,500 – $64,478.
