Position: Administrative Assistant
Employment Date: ASAP
Salary range: Start: $35.14 per hour; after 1 Year: $43.92 per hour. Plus, a full employee fringe benefit package: health, dental, and vision plans, and retirement 401(k) and pension programs. This is a 35-hour-a-week hourly position.

The CFT is the California affiliate of the AFT, AFL-CIO, representing education workers in public and private schools and colleges, from early childhood through higher education.
This Administrative Assistant position will primarily support the Legislative Department and, on occasion, provide administrative support to other departments. Under the supervision of the Director of Administrative Services, performs both routine administrative assistant duties and provides administrative assistance for the legislative department. Responsibilities and duties include typing, developing and maintaining databases, overseeing logistics for conferences, trainings, and other meetings. The individual may also compose routine correspondence, prepare reports, flyers, and materials, statistical summaries, set up meetings and take minutes, prepare mailings, and proofread copy, among other duties. The position requires both interpersonal and organizational skills as well as knowledge of the legislative process.
Duties and Responsibilities:
- Works with department staff and legal counsel to gather and compile organization, department, and government reports and correspondence
- Processes expense reports for department staff
- Acts as liaison with other CFT offices, members, outside organizations, and elected officials
- Reviews forms and information submitted to the office for completeness, accuracy, and conformance to applicable policies, procedures, and practices
- Resolves problems and handles non-routine inquiries related to assigned work
- Maintains department calendar
- Plans, organizes, schedules, and coordinates events/projects from inception to completion, including working with campaign committees and vendors who provide services
- Coordinates and composes the processing and/or production of documents in accordance with established timelines
- Prepares reports, composes letters, flyers, memoranda, statistical summaries, and other materials, including, but not limited to, specialized reports
- Maintains records, files, and other confidential information
- Researches candidate information to compile data and prepares reports
- Coordinates travel for department staff
- Staffs department associated committees as required
- Performs other related duties as assigned
Qualifications:
- An associate of arts degree or its equivalent in office administration, business administration, or a related field, AND two years of full-time clerical experience applying policies and procedures related to budgeting, purchasing, contracts, and scheduling, OR two years’ experience working in a legislative or trade union office, or four years’ experience in a comparable position. College-level courses in office administration, business administration, or a related field are desirable.
- Advanced English, spelling, punctuation, grammar, vocabulary, and proofreading skills
- Ability to work effectively with employees, members, and the public
- Ability to effectively communicate orally and in writing.
- Advanced operating skills on the computer, including the ability to utilize appropriate software.
- Knowledge of the principles, procedures, and practices required for data collection, research, and reporting operations
- Operational skills on basic office equipment
- Report-writing skills
- Keyboarding skill of at least 50 wpm
- Ability to organize, schedule work, follow instructions, and coordinate major projects through completion
- Interpersonal, problem-solving, and organizational skills necessary to provide leadership and technical assistance to others
- Knowledge of the structure and mission of the California Federation of Teachers
- Ability to make non-routine decisions
Physical Demands:
- Repetitive motions and continued standing associated with photocopying, collating, and assembling materials for extended periods of time
- Extended routine typing for data entry
- Occasional driving/running errands
Essential Duties:
- Ability to coordinate and prioritize the workflow of the department
- Answers phones and takes messages
- Operates contemporary office equipment
- Types and prepares reports utilizing word processing skills
The successful candidate will be required to join the support staff union, OPEIU, after 30 days of employment, or pay a representation fee in lieu of membership. Proof of vaccination is required.
