Confidential Administrative Assistant

OVERVIEW
Under the direction of the Human Resources Director and/or their designee, the Confidential Administrative Assistant will provide professional administrative support to the Human Resources Department, Legal Department, Office Manager, Executive Director, and Executive Officers. This position is pivotal in managing sensitive information and requires a high degree of confidentiality, integrity, and professionalism. Non-Bargaining unit position.
DESCRIPTION OF DUTIES AND RESPONSIBILITIES
- Provide day-to-day administrative support to the Legal Team, Human Resources, Office Manager, Executive Director, and Executive Officers.
- Assist with labor-management relations administrative tasks under the direction of Human Resources and the Executive Director.
- Reconcile and track UNAC/UHCP credit card statements, ensuring accuracy and adherence to UNAC/UHCP policies.
- Manage confidential documents and correspondence related to:
- Internal investigations
- Collective bargaining and labor-management relations strategies on behalf of UNAC/UHCP management
- Personnel matters
- Support the Human Resources Department with scheduling, correspondence, filing, and document preparation.
- Organize and maintain confidential records and files in compliance with organizational standards and applicable laws.
- Coordinate meetings, take minutes, and prepare summaries related to sensitive matters as needed.
- Serve as a liaison between departments while ensuring the secure flow of confidential information.
- Perform other administrative duties as assigned, while upholding the highest level of discretion and integrity.
MINIMUM REQUIREMENTS
- Minimum two (2) years administrative work experience, or one-year temporary employment with UNAC/UHCP, or a B.A. or B.S. in a relevant field.
- Strong organizational and time management skills with the ability to prioritize tasks.
- Ability to learn new administrative skills, technology, and programs as they evolve/emerge to support the organization’s goals.
- Experience in reconciling financial transactions and/or credit cards is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- High level of professionalism and ability to handle confidential information with discretion.
- Familiarity with labor relations, internal investigations, or collective bargaining processes is a plus.
- Ability to communicate and interact professionally and effectively with UNAC/UHCP officers, staff, affiliate leadership, union members, vendors and guests
- Excellent written and verbal communication skills.
- Ability to type 45 wpm proficiently/accurately
- Ability to lift up to 25 lb. mailing trays, safety equipment, storage boxes
- Required to attend the UNAC/UHCP convention on a biennial basis

COMPENSATION PACKAGE
Hourly $40.847 – $50.787.
