Administrative Assistant

Based in Suitland, MD

 

Location: 5829 Allentown Rd, Suitland, MD 20746
Schedule: Full-time, Monday–Friday, 9 AM–5 PM (with some flexibility)

About Us
The Baltimore-DC Metro Building and Construction Trades Council represents unionized construction workers and contractors across the region. We bring together affiliates to advance good jobs, strong labor standards, and community-focused development.

We are seeking a full-time Administrative Assistant to support the daily operations of our office, help manage organizational systems, and provide event and meeting coordination. This role is central to keeping our team organized, responsive, and ready to serve our affiliates.

Key Responsibilities
Office & Administrative Support

  • Manage day-to-day office operations (phones, mail, supplies, printers, office organization).
  • Organize and maintain both physical and digital files, including collective bargaining agreements (CBAs) and project labor agreements (PLAs).
  • Track expiration dates of agreements, manage signature collection, and keep records updated.
  • Support with expense reports (compile and organize receipts for accounting staff).
  • Coordinate distribution of communications (press, internal notices, delegate updates).

Scheduling & Communication

  • Manage calendars, meeting requests, and email scheduling.
  • Maintain the Council’s master calendar of recurring and annual events.
  • Block executive time for strategic work, and manage scheduling conflicts.
  • Represent leadership in confirming or rescheduling meetings when needed.

Event & Meeting Planning

  • Coordinate monthly business managers’ meetings (rotation, notices, lunch, accommodations).
  • Provide logistical support for the annual conference (Nov. 17–19 this year).
  • Plan and organize other events, conferences, and trainings: securing venues, food, lodging, and materials.
  • Manage shirts, swag, and supplies for conferences and events.

Office Organization & Systems

  • Organize physical office spaces (storage, signage, shelving).
  • Maintain office supply stock and service equipment (via vendors such as DCA Imaging).
  • Implement systems for shredding, archiving, and general record management.

Other Support

  • Assist with grant-related paperwork and invoicing.
  • Support internal projects as needed.

Qualifications

  • Prior experience in office administration, executive support, or event coordination.
  • Strong organizational and multitasking skills.
  • Proficiency with Microsoft Office and comfort with platforms like Airtable, Google Workspace, or similar tools.
  • Excellent written and verbal communication.
  • Professionalism in representing leadership and the organization to affiliates and external partners.
  • Ability to work independently, manage competing priorities, and maintain confidentiality.
  • Prior experience working with labor unions and/or nonprofits preferred. 

Position Details

  • Schedule: Full-time, primarily 9 AM–5 PM, Monday–Friday. Some flexibility may be required for events. (Flexible schedule and remote work 1 day per week available by request)
  • Location: In-office at 5829 Allentown Rd, Suitland, MD 20746.
  • Compensation: $70,000 annually, plus benefits including cell phone, pension and healthcare.
