TNG-CWA Administrative Secretary

The NewsGuild (TNG-CWA), a sector of the Communications Workers of America, is hiring an Administrative Secretary who will report to the Guild's President and the Executive Vice President. Our targeted start date is April 6th, 2026.
Hourly pay: $46.27 (~$84,000 yearly)
Position details:
- This position is based in Washington, DC.
- This position follows a hybrid schedule of working from home and at the office.
- This is a confidential, non-bargaining unit position that requires a 35-hour work week, with overtime paid if more than 40 hours work is required.
- Travel is expected approximately 1-3 times per year.

Duties and Responsibilities:
- Administrative responsibilities:
- Spearhead logistics of annual staff and leadership meetings and member and staff attendance at various conferences
- Oversee the Guild’s shared Google Drives
- Assist with calendar and email management for the President
- Manage office functioning at headquarters office, including print requests, maintaining supplies and organizing paper files
- Serve as the ‘operator’ of the Guild, including by managing main phone line, voicemail, email
- Regularly support members, local officers, staff and public requests for information
- Make travel, meal and lodging arrangements for staff and members
- Receive and distribute mail
- Operate routine office equipment including computer, printer, label maker, copier, fax
- Financial responsibilities:
- Handle monthly life and disability insurance invoicing to local unions and members
- Handle multiple bookkeeping tasks, including receiving, depositing, and writing checks, assisting with budget reconciliation, processing payments and reimbursements and processing wire transfers
- Reconcile monthly credit card statement
- Support the union's executive vice president with all financial processes
- Requirements:
- At least one year of related experience
- Excellent verbal and written communication skills
- Experience with office management and secretarial work
- Self-motivated and energetic individual who possesses strong interpersonal skills
- Strong attention to detail and highly organized
- Excellent time management, project management, and multi-tasking skills
- Experience with Google products and Microsoft Office, especially Sheets and Excel
- Preferred Qualifications:
- Experience working in the labor movement, especially performing secretarial work or working at the executive/elected level
- Experience with dues processing
- Experience with Action Network
- Experience managing shared Google drives, including filing and folder systems and permissioning users
- Experience with Concur and/or Microsoft Business Central
- Experience with 1Password
