Overview of Responsibilities: 25% bookkeeping & AP/AR, 25% payroll and staff support, 25% membership management, and 25% reporting and tracking.
Bookkeeping & AP/AR
- Maintain books: receipt collection, record keeping, reconciliations
- Submit reimbursement requests to CWA national
- Pay invoices
- Pay per capita fees to CWA national and the CO/WY States Council
Payroll and staff support
- Run payroll semiweekly + set up new employees as needed
- Process reimbursements to staff and members
- File and pay taxes: unemployment (CO, CA, federal), withholding (CO, CA, federal), local (FAMLI, OPT Denver)
- Manage benefits: long-term disability, life insurance, workers comp, vision, dental, 401k, health insurance
- Forward staff union dues
- Manage PTO calendar
- Report new hires to state
- Manage password access for members and staff
Membership management
- Keep member databases up to date
- Maintain active member lists for all units
- Manage incoming mail to finance inbox
- Address membership management requests
- Follow up with failed payments for dues and help troubleshoot card and account issues
- Set up dues subscriptions and manage dues payments via bank draft and credit card
- Track and follow up with drops, lapsed, pending members
- Manage calendar and Slack workspace access to current member list
- Update sign up forms and website as needed
Reporting and tracking
- Report membership to CWA national
- Meet with the budget committee and Executive Board
- Prepare and present on general finances and budgeting at monthly finance committee meetings
- Manage incoming and outgoing donations
- Manage mutual aid funds
- Assist Local Treasurer in preparing the 2027 annual budget proposal
- Upload ActionNetwork lists
- Ensure an annual internal audit occurs
- Maintain business certification & annual report, with Sec of State
- Track business equipment
The person hired for this job should bring these attributes:
- Strong commitment to social justice and the labor movement
- Be a self-starter able to identify necessary tasks and execute them
- Be methodical, with a keen eye for detail
- Be able to work on a computer screen for a majority of their time
- Be willing to meet with staff in person at least monthly
- Proficient with technology including but not limited to Quickbooks, Aptify, Excel, Jotform, Authorize.net/eCheck.net, Stripe.com, Slack, Word, Zoom, ActionNetwork, email, and/or the ability and willingness to learn these platforms
