Administrative Assistant

Based in the Chicago / Evanston, IL area

 

The Northwestern University Graduate Worker Union seeks an Administrative Assistant to support our growing local union. UE Local 1122 is a union of around 3,000 graduate student-workers at Northwestern. We are a feminist, anti-racist, and democratic organization using our collective power to improve working and living conditions for all Northwestern graduate workers. We are an affiliate of the United Electrical, Radio, and Machine Workers of America (UE). 

DUTIES AND RESPONSIBILITIES
Responsibilities may include: 

  • Timely email communication with member inquiries; 
  • Processing dues cards and assisting members with dues questions; 
  • Tracking “good standing” status and sending correspondence related to membership enforcement;
  • Assist with managing inventory of union materials; 
  • Processing incoming and outgoing mail; 
  • Providing logistical support for union events; 
  • Regularly maintaining and updating member information in membership databases; 
  • Processing and coordinating financial records for dues payments in Intuit/Quickbooks; 
  • Posting periodic updates to website and social media; 
  • Attending all Local Executive Board and General Membership meetings; 
  • Other administrative tasks as directed by the Local Executive Board. 

QUALIFICATIONS AND EXPERIENCE
While no one candidate will possess every quality outlined for this position, the successful candidate will bring many of the following professional skills and personal attributes: 

  • Experience as an administrator; 
  • Knowledge of database management software;
  • Familiarization with WordPress or other website development skills;
  • Knowledge of QuickBooks or similar accounting software; 
  • Ability to multitask, prioritize responsibilities, and meet deadlines; 
  • Being well organized and detail-oriented; 
  • Strong professional and calm demeanor, exhibiting tact, and working well with people of diverse backgrounds; 
  • Proficient computer, spreadsheet, data entry, and other technology skills; 
  • Strong interpersonal and communication skills (written and verbal). 

WORK ENVIRONMENT

  • This position is part-time (20 hours/week) and mostly remote. Applicants in the Chicago area are preferred, but those living elsewhere are also encouraged to apply. 
  • The position may occasionally require work outside normal business hours, including some nights or weekends, typically evenings once a month for General Members Meetings

COMPENSATION AND BENEFITS

  • The salary for this position is $24,000 per year, paid out in monthly installments of $2,000 before taxes.
  • A stipend that will be paid out for the coverage of medical, dental or vision benefits in the amount of $600/month
