Job Title: Administrative Assistant to the Secretary-Treasurer
Location: Secretary-Treasurer’s Department (Headquarters)
Shift: 9:00 a.m. – 5:00 p.m. 
Reports To: Secretary-Treasurer and his/her designee
          Salary: $64,164

FUNCTIONAL PURPOSE:
Under general supervision, performs a variety of administrative, clerical, and other duties as assigned by the Secretary-Treasurer and his/her designee. 

DUTIES AND RESPONSIBILITIES: 
To include, but are not limited to the following. Other duties may be assigned.

  • Ensures the Secretary-Treasurer is prepared for meetings and travel. Makes travel arrangements and reservations.
  • Assists the National Executive Board and the Health Plan Board of Directors with meeting preparation and typing of real-time notes and meeting minutes.
  • Assists in preparation of meetings with the Department of Labor and takes notes during these meetings.
  • Maintains and processes election appeals, as assigned.
  • Composes various letters, correspondence and/or other material. Proofreads all outgoing correspondence. Makes copies, scans and files correspondence with related backup material.
  • Screens incoming calls and answers inquiries, provides assistance when possible, or refers to the appropriate individual. 
  • Opens mail daily and distributes to appropriate personnel for handling. Reviews and processes incoming and outgoing correspondence and communications.
  • Prepares materials for meetings, committees, conferences, seminars, and national conventions when requested.

QUALIFICATIONS:
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required.

EDUCATION & EXPERIENCE:

  • High school graduate or equivalent.
  • Two years secretarial or equivalent experience. 

SKILLS/ABILITIES:

  • Ability to objectively analyze problems and suggest solutions in an intelligent and professional manner. 
  • Must be detail oriented.
  • Must be able to establish and maintain effective working relationships with officers, staff, employees, members of outside agency officials, as well as congressional staff, foreign dignitaries and their office staff. 
  • Ability to type 45 wpm.
  • Ability to utilize a computer, including but not limited to, Microsoft Office Word, Excel, PowerPoint & Outlook. Willingness to learn additional software programs.
  • Ability to perform duties with neatness and accuracy.
  • Ability to use office equipment such as copiers, scanners, fax, desktop computer system and peripherals, etc.
  • Individual must be dependable with exemplary attendance and punctuality. 
  • Must demonstrate excellent telephone courtesy and have the ability to handle and maintain confidential material.
  • Ability to establish and maintain effective working relationships with APWU personnel, members and general public.
